Cashculator lets you manage your plans (expected transactions or budget) separately from actual transactions. Plan view shows what you expect. Actual shows what happened.

Cashculator always had an option to automatically record actual transactions from plans, but sometimes the payments don’t happen exactly as planned, so for some transactions or for some categories you’d want to create actuals for these plans manually.

And while you can always add actual transactions, this new feature lets you create one from a plan, so you don’t need to add all the details again. In addition, the new transaction will be linked to the plan from which it was created, similarly to how automatic actuals are linked to their respective plans.

This feature was developed in response to a customer request in Cashculator forum, so keep your ideas coming.

Steps to record an actual transaction:

  1. Find the plan transaction in the table. Double‑click on a plan cell to show the Quick Viewer
  2. Select the plan transaction in Quick Viewer from which you want to create an actual.
  3. Click the new button at the bottom right of the Quick Viewer.
  4. Review the details for the new actual transaction. Cashculator set the date to today (not the plan date).
  5. Adjust the date, amount or description, if needed, then press Record.

Note: If you try to record an actual for a one‑time plan and a linked actual transaction already exists, Cashculator tells you. You can either edit the existing actual or create a new one. For example, if your plan was split into multiple actual payments.

Note: If the plan also has its “auto-create actuals” option enabled, when the date of the plan comes, Cashculator will check if there’s already enough actual transactions for this plan for this date. If there are enough (say, it’s the third repetition of the planned transaction) and there are already at least three actual transactions for this plan, the automatic creation of an actual transaction will be skipped for this date.
